NoGaps keeps work diaries for small trade businesses. This page says what we keep, why, who else handles it, and how to get it changed or deleted. We follow the Australian Privacy Principles.

What we keep

  • People on a diary: name and mobile number, and whether they've asked us to stop texting.
  • Businesses: the business name and who's on its crew.
  • Jobs: what the job is, the client's name, the address, the dates, who's on it, and any notes.
  • People who ask for a diary on this website: the business name, first name and mobile, so we can set them up or let them know.
  • Calls and texts to the diary: the texts, and what was said on a call, turned into text. We don't record calls.

Clients' names and addresses come from the tradie, not from the clients themselves. We use them only to run that business's diary.

Why

To run the diary: understand what you rang or texted, change the diary, tell the people a change affects, and show each person their own jobs. We don't sell personal information, use it for advertising, or text anyone marketing.

Who else handles it

  • Twilio carries the calls and texts, and turns speech into text.
  • Anthropic reads each call or text, with the business's diary, to work out what should change. Under its commercial terms it doesn't train its models on what we send it.
  • Fly.io runs our server and stores the diary, in Sydney.
  • Cloudflare checks that the sign-up form is being filled in by a person, not a bot. It looks at your browser while you're on a page with that form, under its own Turnstile privacy policy.

Twilio, Anthropic and Cloudflare are based in the United States, so what's said in a call or text, and the sign-up check, may be processed there.

How long we keep it

A diary is kept while the business uses NoGaps. When a business leaves, its diary, its people and their messages are deleted; we keep only a note of the business name, the boss's name and mobile, and when it closed, in case they sign up again. The log of calls and texts keeps only the most recent messages. Backup copies are kept for 14 days, then deleted.

Keeping it safe

Everything travels over encrypted connections. Each diary page is reached by a long, random link instead of a password. If a link has got around, text NEWLINK to the diary and the old link stops working.

Seeing, fixing or deleting your information

Email hello@nogaps.au. We'll tell you what we hold about you, correct it, or delete it, usually within a few days. Reply STOP to the diary to stop all texts straight away.

If you're not happy with how we've handled a complaint, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
